This is an English translation. In case of difference, the French version prevails, to the extent permitted by law.
This policy explains what personal information we collect, why we use it, who can access it, how we protect it and what rights you have.
Mini ClockGuru, available at miniclockguru.com, is a visual schedule and time-management application intended mainly for children.
It is operated by Paul Robichaud, doing business as Applications ClockGuru, a sole proprietorship registered in Quebec, Canada ("we" or the "Operator").
As required by Quebec law, Paul Robichaud is the person in charge of the protection of personal information. He ensures that the rules for collecting, using, keeping, disclosing and destroying personal information are followed.

Any question, request for access or correction, or complaint about personal information may be sent to him.
Mini ClockGuru is designed to be set up and managed by an authorized adult, such as a parent, guardian, teacher, health or education professional, or support worker.
The adult creates and manages the profiles, schedules, routines and activities. Children may view and use the schedules prepared for them.
We do not ask children to provide personal information directly to buy or activate a license.
However, information entered by an adult may concern a child, such as the child's first name or nickname, activities, routines and progress records.
We recommend using a nickname rather than the child's first or full name, and not entering information that is not needed for the Application to work, such as an address, medical information or other sensitive information.
The adult who creates a profile must have the authorizations needed to collect and use information about the child. When the information concerns a minor and consent is required, it must be obtained according to the applicable rules, including those on the consent of persons having parental authority or guardians.
This responsibility of the user does not limit the Operator's obligations regarding the protection of personal information.
We collect only the information needed for the purposes described in this policy. It may be collected directly from you, automatically when you use the Application or, in some cases, from our payment provider.
When you activate a license or use the Application, we may collect:
When you use the Application, some technical information may be collected automatically, such as your IP address, the type and version of your browser, technical connection information, the dates and times of some requests, and information needed for the operation, security and verification of licenses. It is collected through server logs and the technical mechanisms the Application needs to work.
Purchases are made on Stripe's checkout page. Stripe acts there as the merchant of record of the transaction (under the name "Link"): Stripe collects your name, email address, billing address and payment information directly, under its own privacy policy (https://stripe.com/privacy).
After payment, Stripe sends us only the information needed to create and send your license key and, if needed, to process a refund: your email address, the date and amount of the purchase, the currency, the language of the checkout page and technical payment identifiers. We link this information to your license key.
We never receive your card number or other complete payment information.
Photos added to activities are kept in your browser and are not sent to our sync servers. Before a license is activated, the information created in the Application also stays on your device. The export and share functions can include this information in a file that you choose to create and, if you wish, send to someone else.
We use personal information for the following purposes:
a) Sales, license key and refunds. Your email address and the purchase information sent by Stripe are used to create your license key, email it to you, calculate its end date (a renewal starts when the current license ends) and process a refund request.
b) License management. Your license key is used to check your right to use the Application. This check is made with our license server about every three days.
c) Data sync. Schedules, routines, activities, progress records and settings are saved online under your license key so you can view and use them on different devices. Up to three earlier versions may be kept so that data changed or overwritten by mistake can be recovered.
d) Security. Some information is used to prevent unauthorized access and keep the Application secure.
e) User support. The information in your messages is used to understand your requests, help you and follow up on reported problems.
f) Legal obligations. Some information may be used or kept when needed to meet legal obligations or exercise rights recognized by law.
We do not use your personal information for advertising, and we never sell or rent it to anyone.
An email address is required to buy a license and receive your license key. A valid license key is required to use the Application.
The schedules, routines and activities you create depend on your needs. Adding photos is optional. Notifications are optional too: you can refuse or withdraw permission in your browser's settings.
Refusing to provide information needed for a feature may prevent you from using that feature, but not other features that do not need it. You can limit the personal information you enter, for example by using nicknames and avoiding sensitive information. Where processing is based on your consent, you may withdraw it as provided by law.
Within Applications ClockGuru, access to personal information is limited to authorized persons who need it for their duties: the Operator, for license administration, operation of the Application and handling requests; and, where applicable, persons expressly authorized to provide technical support, maintenance or security. Access is limited to the information needed for those duties. When we use outside providers, their access is governed by this policy and applicable legal requirements.
To help handle users' requests and emails, we may use an artificial intelligence tool provided by Anthropic, called Claude. It can help us analyze messages and prepare draft answers.
Before sending a message to this tool, we remove names, email addresses and details that can identify a person, especially a child. Only the content needed to handle the request is sent.
We have turned off the option that allows Anthropic to use our conversations to improve its models.
Draft answers are checked by a person before they are sent. The tool never answers users automatically.
Please avoid sending sensitive personal information, such as medical information or information that directly identifies a child, unless it is needed to handle your request.
Using this tool may involve processing outside Quebec, including in the United States. The retention and use of information sent to Anthropic are subject to the contractual safeguards of the service actually used.
Stripe — merchant of record for payments. Stripe (under the name "Link") sells the license on our behalf and processes the payment. You give your name, email address, billing address and payment information directly to Stripe, which is responsible for them under its own privacy policy (https://stripe.com/privacy). Stripe then sends us the information described in section 3.3. Locations: Canada, United States and other countries where Stripe operates.
Service providers acting on our behalf (we remain responsible for the information they process):
| Provider | Services | Information concerned | Main location |
|---|---|---|---|
| OVHcloud | Website hosting and the contact@miniclockguru.com email service | Technical information (IP address) and emails received | Beauharnois, Quebec, Canada |
| Cloudflare | License server, sync and online storage | License keys, purchase email address and purchase information, synced schedules, settings and progress records | United States and other countries |
| Resend | Sending the emails that contain the license key | Email address, license key and email content | United States |
| Anthropic | Help preparing answers to emails (section 7) | Email content, after removal of information that can identify a person | United States |
These providers may access the information needed to provide their services. Disclosures to them follow the conditions set by law, including confidentiality, security and purpose limitation, through their written data processing agreements.
We may also disclose personal information when the law allows or requires it, for example to comply with a court order or a legal obligation. If the business is sold or transferred, personal information may be disclosed in the circumstances and under the conditions allowed by law.
Some of our service providers are based in the United States or may process personal information in other countries. Your information may therefore be kept or processed outside Quebec, and public authorities in those countries could, in some circumstances, access it under their laws.
Before disclosing personal information outside Quebec, we must carry out the privacy impact assessment required by law and put the necessary safeguards in place, taking into account the sensitivity of the information, its purpose, the protection measures and the legal framework of the country concerned.
Where the European Union's General Data Protection Regulation applies, international transfers are made using legally recognized mechanisms. The providers concerned and the places where your information may be kept are listed in section 8. To learn more about these disclosures and the safeguards in place, write to contact@miniclockguru.com.
Mini ClockGuru uses no advertising cookies, advertising trackers or audience measurement tools such as Google Analytics.
The Application uses your browser's local storage to keep schedules, settings, photos and your license key on your device. Technical mechanisms may also be used for authentication, operation and security.
Notifications. When you turn on desktop notifications, your browser first asks for your permission, which you can withdraw at any time in its settings.
Read aloud. The read-aloud feature uses your browser's voices. When the browser uses online voices, the text may be processed by the browser's provider, such as Microsoft or Google, under its own privacy practices.
Identification, location or profiling. The Application uses the identification or authentication mechanisms needed to manage licenses. It has no feature to locate children, profile them for advertising or make fully automated decisions about them. Progress records are only used to follow the routines and tasks set up by the user. Any future feature allowing identification, location or profiling will follow the applicable legal requirements, including prior information and voluntary activation.
We limit the collection and disclosure of personal information to what the Application needs. Where the Application offers privacy settings, they are set to the highest level of privacy by default, as required by law. For example, adding photos is optional and the option not to include them in exported files is highlighted. Notifications require the user's prior permission. We also recommend using nicknames for children's profiles.
We keep personal information only as long as needed for its purposes, subject to legal obligations.
Synced data. Synced schedules, settings and records may be kept after a license expires so they can be recovered when it is renewed — for at most 24 months after the license expires.
Earlier versions. Up to three earlier versions of synced data may be kept — for at most 24 months after the license expires.
Purchase and license information. The email address, license key and purchase information are kept for the duration of the license, then for the period required by applicable tax and accounting laws.
Former free-trial data. The free trial is no longer offered since October 26, 2026. The email addresses and start dates of trials started before that date are destroyed no later than 24 months after the trial ended.
Technical logs and messages. Connection logs and emails received are kept as long as needed for security, handling requests or legal obligations — for at most 36 months after the license expires.
Deleting your data. You can delete your synced data with "Delete my cloud data" in Settings → Backup, or by writing to contact@miniclockguru.com.
When the retention period ends, personal information is destroyed or anonymized as required by law, unless a legal obligation requires keeping it. It is destroyed in a way that prevents unauthorized recovery.
We use technical and organizational measures to protect personal information against unauthorized access, use, disclosure, modification or destruction, including HTTPS encryption between the Application and the servers, license verification mechanisms, limited access to personal information, removal of identifying information before using an artificial intelligence tool, and service providers bound by confidentiality and security obligations.
Synced data is linked to your license key. Please keep your license key confidential: anyone using it may be able to see the schedules, profiles and records linked to it.
In the event of a confidentiality incident, we take the necessary steps to limit its consequences and meet our legal notification obligations. When an incident presents a risk of serious injury, we notify the Commission d'accès à l'information du Québec and the persons concerned as required by law.
Under applicable laws, you may in particular request access to the personal information we hold about you; request correction of inaccurate, incomplete or ambiguous information; request deletion when the legal conditions are met; withdraw your consent when processing is based on it; and, where the law provides, request certain information in a structured, commonly used technological format. Where the GDPR applies, you may also have the rights to restriction, objection and data portability under that regulation.
To exercise your rights, write to contact@miniclockguru.com. We may take reasonable steps to verify your identity. We will answer within the time limits set by law — within 30 days for an access or correction request under Quebec law, and generally within one month where the GDPR applies, subject to the extensions it allows. If we refuse a request, we will give you the reasons and the available remedies.
Anyone who believes their personal information has been collected, used, kept or disclosed improperly may file a complaint with the person in charge of personal information: Paul Robichaud, Applications ClockGuru, contact@miniclockguru.com.
We handle complaints in four steps: receipt and identification of the subject; review of the facts; verification of the practices concerned and, if needed, corrective measures; and a reasoned answer to the complainant. We handle complaints diligently, fairly and confidentially, and use the information only to handle the complaint and meet related legal obligations.
If you are not satisfied, you may contact the Commission d'accès à l'information du Québec (www.cai.gouv.qc.ca) or any other competent data protection authority where the applicable law provides.
Applications ClockGuru applies policies and practices to protect personal information throughout its life cycle, covering collection and use, who may access it, disclosure to service providers, retention, destruction and anonymization, security measures, the handling of confidentiality incidents (recorded in a register), and requests for access, correction and complaints. The person in charge of personal information oversees them. More information is available on request.
We may change this Privacy Policy to reflect changes in the Application, our practices or legal requirements. The date of the last update appears at the top. Any important change will be announced appropriately, including in the Application, so users can read it before it takes effect when circumstances require. When a new purpose requires consent, it will be obtained as required by law. Earlier versions may be requested from the Operator, to the extent they are kept.
